The type of personal information we collect

We currently collect and process the following information:
• We make sure you cannot be directly identified by Google Analytics data. We do this by using Google Analytics’ IP address anonymisation feature and by removing any other personal data from the titles or URLs of the pages you visit.
• Your IP address when accessing our site

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:
• In the process of accessing our website you will necessarily provide us with your IP address so that we can return the web pages you’ve requested
• As part of our server security and performance metrics – we may use the data to ensure the site’s integrity and availability
• You will optionally include cookies which will tell us which parts of the site higher footfall to aid with sourcing popular content
• We are required to evidence the use of the site to our funders so summary (non-identifiable) data will be provided to support the continuation of the service

We share this information with Google Analytics to provide us with summary reports regarding the performance of the website although their anonymisation methods means that none of it is identifiable.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting us via the details at the top of this notice.

(f) We have a legitimate interest. We have a legitimate interest in protecting the server and the service running on the server.

How we store your personal information

Your IP address information is securely stored in our data centres in Norwich which are overseen by our support company – the NBI Partnership.  As outlined above – analytics data has the identifiable elements removed and it processed by Google in their data centres located in the EU.

We keep your IP address information for up to 2 years. We will then dispose your information by automatically aging out those records and deleting them.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information. 
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. 
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances. 
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
